1. Document Information

1.1 Introduction

The purpose of this document is to provide an installation and configuration guide for integrating the Smokeball Practice Management System with PaperCut MF.

2. Pre-requisites & Disclaimer

2.1 Cilantro IO application download

To obtain the latest version, you must log into either the /reseller portal for your region. Alternatively, customers can download via their /vendor portal. A link is emailed to all customers upon account creation.

2.2 Smokeball Pre-requisites

  1. Prior to actioning the authentication task, it is important to understand that the customer must create or confirm they have already created & configured Activity Codes in Smokeball / Settings / Time & Billing / Activities.
    a. Codes must be created as Expense/Disbursement type.

Smokeball Settings Time and Billing Activities
Smokeball Settings Time and Billing Activities.
    Smokeball Activity Code List
    Smokeball Activity Code Configuration.
  2. During the authentication process, the customer needs to complete three actions:
    a. Decide which Disbursement Creation Method is to be used.
Smokeball customers will default to an option that creates one disbursement per transaction. b. Assign Activity Code(s).
    c. Register the webhook to enable the modification or deletion of Shared Accounts as and when they are actioned within Smokeball - Success will be confirmed in the 'Registration Status' dialogue.

The solution will not work without this registration!!

2.3 Smokeball data limitations

  1. It is possible for a Smokeball user to create Matters with duplicate or null value Matter Numbers, or for them to opt not to populate the Matter Description.

As Cilantro's integrations are built around logic-based decisions and PaperCut MF has its own requirements for the creation of Shared Accounts, it is not possible for Taco Technologies to guarantee that every piece of a Smokeball customer's data will meet the requirements of Cilantro or PaperCut MF.

2.4 Source the Client information

To commence with the installation you require the Client ID and Secret Key. This is unique information that connects Cilantro IO securely to Cilantro's Cloud environment. To obtain this information:

The customer must log in to the Cilantro Vendor portal, using credentials that would have been emailed to them when their order was placed with Taco. Once logged in, they can obtain their credentials via the "Cilantro Instances" Tile.

Cilantro Vendor Portal Dashboard showing Instance Details tile with Security Key and Client ID
Obtain Client ID and Secret from the Vendor Portal.

Click on the i button and copy.

Note: If the Tile does not appear, it is likely because the Instance does not have the Vendor relationship established (as of August 2024).

2.5 Authentication

The client needs to authenticate with Smokeball via the Cilantro Vendor Portal, as per above steps. Instructions on how to do this can be found in the Cilantro for Smokeball User Guide.

This document should be provided to customers before installation begins, so they can familiarise themselves with their role in the process. Linked is the latest version of the Cilantro for Smokeball User Guide.

An active Cilantro IO & Smokeball license is necessary, if the license has expired the customer will be advised of this when they click on the link (as of August 2024).

2.6 Check System for previous software

Confirm that the existing PaperCut MF server is not using another connector. This can be checked in Task Scheduler and in PaperCut account sync to confirm if PaperCut is, for example, syncing matters from a CSV or Text file on the server.

All traces of any other connectors should be removed before commencing the install of Cilantro IO.

2.7 Using Scan to Smokeball without cost recovery

Some customers may prioritise Scan to Smokeball functionality without needing to make use of the cost recovery features. The below config steps will allow users to select accounts to scan to, without prompting users to select an account to print.

  1. Set all users for advanced account selection. This can be done in Users > Bulk User Actions > Change Account selection setting (Show advanced account selection).

  2. In Printers set all printers to override this setting and charge to personal account. This can be done in Printers > [Template Printer] > Advanced Configuration > Override user-level settings > Do not show account popups and allocate jobs to: (User personal account).

With this configuration users will be able to select an account when scanning at the MFD, but will not be interrupted when printing.

3. PaperCut MF System Configuration

5.4 Cilantro IO Account Import action

The account import task is the mechanism by which Cilantro IO Imports active (Open or Pending status) Matters from Smokeball and creates them as Shared Accounts in PaperCut MF.

Accounts are created using a naming protocol that identifies the Client and the Matter all in one Shared Account i.e Client-matterNumber-matter Description-matterID. The matterID is Smokeball's GUID and is used by Cilantro when communicating with Smokeball i.e Creating expenses or uploading scanned documents.

  1. From the main application window, click the PaperCut Account Import from Smokeball task.

    Select Account Import Task

Configure Data Source settings for Smokeball
Configure Data Source settings for Smokeball.
Due to a bug in PaperCut MF that permits multiple sub-accounts to have the same PIN/Code (Matter Number), we have had to remove the ability to construct Shared Accounts with the normal Parent (Client) / Child (Matter) relationship. For the time being, the 'Do not create an account for clients' box will be ticked by default and unmodifiable.
  5. On the Action Schedule dialog, the This action should be repeated on the below schedule check box must be ticked.
    a. Frequency = 1 Hour.

    Action Schedule Configuration
    Set frequency to 1 Hour.

  7. On the Action Name dialog, you may rename the Action to something more descriptive if desired and finally click Save.

    Save Action Name
    Save Action Name.

5.5 Cilantro IO Transaction Export Action

The transaction export action is the mechanism for creating each PaperCut MF print, photocopy, scan and fax transaction as an Expense against the appropriate Matter within Smokeball.

  1. The action itself manages data based on a 'Conversion Profile' which aligns the PaperCut MF data with the data structure of Smokeball. There should be no need for you to edit the Conversion profile, all data is already mapped as required.

  5. In the Action Data Source dialog ensure Files is selected for the data source, PaperCut Transactions File for Smokeball is selected for the conversion profile and the correct path & filename are entered for the scheduled reports exported from PaperCut MF.
    C:\Program Files\PaperCut MF\server\data\scheduled-reports\transactions*.csv
Should you not specifically state .csv then Cilantro will attempt to reprocess files marked as done IF they have not been deleted for any reason.
Additionally, the Delete the source files after the action has run check box should be ticked. This ensures transactions are not duplicated in Smokeball by reprocessing the same scheduled report files the next time the Action runs.
Should any transactions within a CSV be problematic, then the row for that transaction will be modified to reflect this and the whole file retained. Allowing administrators to amend the problematic transaction and reprocess only those faulty transactions. Once a CSV is successfully processed it will be deleted but only when all transactions within have been successful.

Configure source file path and enable file deletion

  7. On the Action Schedule dialog, tick the This action should be repeated on the below schedule check box. This ensures the transaction export recurs with the specified frequency and that transactions are daily exported to Smokeball.
Enter a start date from which the Action is to repeat, a start time for the Action and an export frequency.

As transactions are exported daily from PaperCut MF at 01:00, the start time for the task should be between 02:00 - 05:00, to allow PaperCut MF to finish the export and for transactions to be uploaded in readiness for the new working day. We ask that you vary the time for this action across multiple customers in an attempt to reduce the number of simultaneous calls to our API.

The repeat frequency should be 1 day.

Once the appropriate values have been entered, click Next.

6. Troubleshooting

6.1 Authentication details

Authentication and the related Client ID & SecretKey can only be obtained via the customer's unique Vendor portal.

  • Ask the customer to log in, authenticate via the blue hyperlink or click on the i button beside the link to obtain Client ID & SecretKey.
  • IF this tile does not appear, it is because the relationship between the Instance & Vendor has not been established. Call Taco Tech Sales or email to resolve this.
  • IF the customer clicks on the authentication link and is advised their license has expired, contact Taco Tech Sales to acquire a new one.
